A free restaurant booking system usually gives you an online booking form, a basic diary and email confirmations at no monthly cost. What you give up is typically SMS reminders, deposits, your customer data, or a per-cover fee that makes "free" expensive once bookings grow.
Online booking is now the default. A takepayments survey of 1,500 UK adults in September 2025 found 54% prefer to reserve a table online, and 12% admitted they had failed to turn up for a booking. If your venue has no booking button, you are already turning some of those diners away.
What does a free restaurant booking system include?
Most free tiers cover the basics well. You get a booking widget for your website and social profiles, a digital diary showing covers by time slot, automatic email confirmations and a simple guest list.
For a small café or a 30-cover neighbourhood restaurant with a quiet midweek, that may be all you need. The problems start when you get busy.
Where the free model makes its money
Nothing is free forever, so check which of these models applies:
- Per-cover fees on bookings that come through the platform's own marketplace or app
- A hard cap on monthly bookings, tables or users before you must upgrade
- Paid add-ons for SMS reminders, deposits, waiting lists or reporting
- Your guests' data held on the platform, with marketing sent by the platform, not by you
ResDiary's 2026 pricing guide gives a useful example: a restaurant taking 1,500 covers a month on a platform charging £1.50 per cover pays £2,250 a month, or £27,000 a year. That is far more than any subscription.
Which features are worth paying for?
Reminders and deposits are the two that pay back fastest. The Resos No-Show Index 2026, covering more than 2 million UK reservations, found bookings that received an SMS reminder had a 16% lower no-show rate than bookings at the same restaurants without one.
Protected bookings in the same index recorded a 0.80% no-show rate compared with 2.47% for unprotected ones. Free table booking systems rarely include either feature, and a single saved Saturday table of four covers a month of subscription.
Restaurant booking system cost: what to expect
A paid restaurant booking system for an independent venue typically works as a flat monthly fee with no per-cover charge. The exact figure depends on covers and add-ons, so ask each provider for a quote and compare the total, not the headline price.
Then work out your own number. Multiply your monthly covers by any per-cover fee, add SMS costs, and compare that with a flat subscription. For most restaurants taking more than a few hundred bookings a month, the flat fee wins.
When a free booking system is the right choice
Free makes sense if you are just opening, take fewer than 200 bookings a month, and do not yet need deposits. Use it to prove demand, then move once no-shows or per-cover fees start to bite.
Whatever you pick, make sure you can export your guest list. Your customers' contact details are the most valuable asset a booking system holds.
Free restaurant booking system or paid: the bottom line
A free restaurant booking system is a sensible start, but reminders, deposits and ownership of your guest data are what actually protect revenue. OrderApps includes online table booking with automatic reminders, deposits and waiting lists in its all-in-one platform for UK restaurants, with no per-cover fees.
